QuickBooks Commerce supports batch and expiry tracking for products. To learn how to enable batch and expiry for your products, take a look at this article.
A very handy feature has been created to allow you to archive batches you no longer need (i.e. out of stock or expired) or that were erroneously created to be showing up in the records.
For instance, if an expired batch was appearing in your new sales or purchases, you can simply hide it from your view by choosing to archive.
Here’s how you can archive batches in 5 simple steps:
Step 1: On your left tab, click on Inventory and on the array, select Batches.
Step 2: Next, select the batch you want to archive from the displayed list or search for the respective batch ID in the search box.
If you still have an outstanding quantity against an expired batch, you can do a stock adjustment to zero the quantity.
Step 3: Once the stock quantity of a batch is 0, the Archive Batch button will be enabled.
Step 4: Lastly, a pop-up screen will ask for a confirmation before proceeding to archive it from your records. If you are all set, click Confirm.
If you are not sure whether you want to archive a batch, we suggest that you cancel when asked for confirmation because once a batch is archived,
- the action cannot be undone
- the batch will not appear as options to pick from when working with Purchase Orders, Sales Orders, Production Orders, and Stock Adjustments
However, the stock trail history data against the archived batch will not be lost.
